BusyTrip / Guides / BusyTrip vs ExpenseBot

Comparison

BusyTrip vs ExpenseBot

Both end up with receipt data in a Google Sheet you own. One is a bookkeeping tool with a scanner; the other is a scanner with a filing system.

Choose ExpenseBot if your receipts arrive by email, you want bank statements reconciled against them, and you export to QuickBooks or Xero. Choose BusyTrip if your receipts are paper on the road, you want them in dated Drive folders with a monthly sheet, and you also collect business cards and badges on the same trips.

Where ExpenseBot is the better choice

  • Most of your receipts are e-receipts. Gmail scanning collects them without you doing anything.
  • You reconcile against bank statements and want to see what is missing.
  • Your accountant works in QuickBooks or Xero and wants an export, not a folder.
  • You have a team and per-seat pricing is fine.

Where BusyTrip is the better choice

  • Paper receipts on trips. Taxi, hotel, restaurant, the things that never reach your inbox.
  • Drive as the system of record. You want the image in a month folder and the row in a sheet, in your own Drive, and nothing else.
  • Cards and badges on the same trip. One app for the whole conference, not two.
  • Price. About half of ExpenseBot's monthly seat price, with a free tier.

The two are not exclusive. Several people will scan paper with BusyTrip and hand the month folder to whatever does their books.

ExpenseBot details come from its pricing page as read on 2 September 2026. Prices change; check before deciding.

FAQ

Questions

Does BusyTrip read receipts from email?

No. Upload the PDF or photo yourself. Automatic Gmail collection is ExpenseBot's strength.

Does either connect to my bank?

ExpenseBot does. BusyTrip does not and never asks for bank or Gmail access; its only Google permission covers files it created.

Can I use both?

Yes. BusyTrip files paper receipts into Drive; ExpenseBot can import from Drive.
